ANNUNAL GENERAL MEETING

to be held at Harpsden Village Hall

at 7.45pm on Monday 19th May 2025

 

AGENDA

 

  1. To elect the Chairman of Council and to receive his/her Declaration of Acceptance of Office
  2. To elect the Deputy Chairman and to receive his/her Declaration of Acceptance of Office
  3. Apologies for absence
  4. To receive Declarations of pecuniary interests and/or requests for dispensations from Members regarding any item on this agenda
  5. Review and adoption of both Standing Orders and Code of Conduct.
  6. Review and adoption of all Council Policies and Procedures.
  7. To approve the Minutes of last Council Meeting (Monday 18th March 2024)
  8. To receive the Oxfordshire County Councillor’s Report
  9. To receive the District Councillor’s Report
  10. To consider the Completion and approval of Accounting Statements 2023/2024
  11. To consider the Completion and Approval of Annual Governance Statement 2023/2024
  12. Planning Matters:

12.1  To review SODC Planning Decisions since the previous meeting.

12.2 To consider for comment all new Planning Applications

12.3 To briefly note all Outstanding Planning Applications and Appeals

  1. Financial Matters:

13.1   To consider and approve the Financial Report containing all Bank balances and reconciliations as previously circulated by Clerk.

13.2    To approve the Schedule of Payments as previously circulated by the Clerk.

13.3    To approve the budget vs actual spending.

13.4    To consider and approve the CIL reconciliation for May 2025

13.5.   To review the CIL five-year budget in the light of recent CIL payments and to agree to adopt a new five year budget to be finalised at the meeting in July.

13.6 To agree to reappoint the Insurance company Zurich for a second period of three years.
